Responsibilities
We are looking for you - a versatile and highly-organized personal assistant (PA) to perform personalized administrative duties for the Director of our cooperation.
Our Director lives with his family in Berlin and Calvia (Mallorca) and travels frequently for professional purposes - mainly between Berlin, Palma, London and Zurich.
As PA you will act as the first point of contact and work autonomously to provide customized administrative support.
Your responsibilities typically include a variety of administrative tasks, e.g.:
managing internal and external correspondence and phone calls
controlling access to the Director’s time by managing his diary and organising meetings and appointments
making travel arrangements and bookings, including transport and accommodation
organising events and conferences
reminding the Director of important tasks and deadlines
compiling and preparing reports, presentations and correspondence
implementing and maintaining procedures/administrative systems
liaising with the Director’s partners, staff, suppliers and clients
collating and filing expenses
covering part of the Director’s personal life maintenance tasks
Qualification
You bring the following skills:
organisational skills and the ability to multitask
the ability to be proactive and take the initiative
1-2 years of experience as a personal assistant would be advantageous
tact and diplomacy
discretion and trustworthiness: you will often be party of confidential information
flexibility and adaptability
good oral and written communication skills in English and Spanish (German is a plus)
extensive experience in creating documents and spreadsheets, using office software such as MS Word, Excel, and PowerPoint and the desire to gain experience in other software applications if required.
